This Privacy Notice sets out the privacy policy of the International Maritime Pilots’ Association (IMPA).

The type of personal information we collect

We currently collect and process the following information:

  • Your first name, last name, role and affiliation to a pilots’ organisation.
  • Contact information, including email address.
  • Your individual membership number.
  • Your email address and location during annual IMPA safety campaigns.
  • Images, audio and video recordings
  • Special category personal data in accordance with applicable law or by explicit consent.
  • Other information necessary to maintain our website and Safety Campaign application.

How do we get personal information, and why do we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You are affiliated with a pilots’ organisation which is a member of IMPA

We also receive personal information indirectly from the following sources in the following scenarios:

  • A pilots’ organisation which is a member of IMPA to enable that organisation to set up member-related services on your behalf.

We use the information given to us to:

  • To provide, manage and improve member-related services, including participation in the biennial IMPA Congress.
  • To allow us to deliver events, live broadcasts and webinars hosted by or affiliated with IMPA.
  • To allow us to conduct and protect campaigns, including annual IMPA safety campaigns.
  • To further the objectives of IMPA and showcase the work of maritime pilots.
  • To enable IMPA to collaborate with other organisations and share your technical expertise in pilotage and related fields
  • For research purposes.
  • To comply with UK legislation.

We may share this information with Glue Up to provide member-related services and AWS during IMPA annual safety campaigns.  

We do not otherwise share or sell personal data to other organisations for their own purposes.

Consent

We rely on your consent for most of how we use personal data to provide member-related services.

You can remove your consent at any time by contacting office@impahq.org.

Legitimate Interest

We rely on legitimate interests for how we use personal data. We expect that the following uses fall within our legitimate interest:

  • Providing Secretariat services
  • Providing member-related services to maritime pilots affiliated to pilots’ organisation that are members of IMPA
  • Representing and promoting the objectives and interests of IMPA and its members
  • To give and receive information
  • To obtain appropriate professional advice and insurance

Legal Obligation

We rely on our legal obligation to comply with UK company and employment law. We will also process special category personal data or criminal records information in accordance with rights or duties imposed on us by law, including in connection with the employment of staff.

How we store your personal information

Your information is securely stored.

We keep the information we store for as long as necessary whilst we have your consent and for the minimum time required for our legitimate interest and legal obligations.

We will then dispose of your information by permanent electronic deletion or physical destruction.

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict processing your personal information in certain circumstances.

Your right to withdraw consent to processing - You have the the right to withdraw consent to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge to exercise your rights. If you make a request, we have one month to respond to you.
